Privacy Policy (English) 

  1. What is this Policy?

This Privacy Policy explains how Amanmind (owned and operated by Aman Mind LLC, a Wyoming, USA limited liability company managed by Jivan Haj Younes) collects, uses, and protects your personal information when you use the Amanmind mental health platform (the “Platform”). It describes what data we gather, how we process it, and your rights regarding your data. By using the Platform, you agree to the practices described in this Policy and in our Terms and Conditions.   1. Who does this apply to?

This Policy applies to all users of Amanmind’s website and services, including: 

  • Visitors who browse public pages of our site without registering. 
  • Registered Users (“Members”) who create an account or use our paid services on the Platform. 
  • Therapists (independent licensed professionals) who provide counseling services through our Platform. 

Note: This Policy does not cover information related to Amanmind employees or contractors (other than therapists). Those individuals will receive a separate privacy notice as appropriate. 

  1. What is a “Service Provider” in this Policy?

When we mention Service Providers, we mean third-party companies or individuals we contract with to perform services on our behalf and assist in processing your data. For example, Service Providers may include hosting companies, payment processors, analytics providers, or email service vendors. These Service Providers are bound by legal agreements to only process personal data under our instructions and to protect it. They cannot use or disclose your personal data for any other purpose except as authorized by us or as required by law (such as for fraud prevention, legal compliance, debugging, or improving their services related to ours). 

  1. What is a “Third Party” in this context?

In this Policy, a Third Party refers to any person or organization that is not you, not Amanmind (the company itself), and not one of our contracted Service Providers. This could include, for example, external websites or platforms that we may link to, social media companies, advertising partners, or analytics and marketing services that are not acting solely on our behalf. We only share your data with Third Parties in the limited ways described in this Policy. Keep in mind that if you access external links or services from our Platform, those parties will have their own privacy policies and practices for handling your information. 

  1. Do you collect, store, or process my data?

Yes. When you interact with Amanmind, we collect and process various types of data about you. “Processing” means anything we do with your data – including collecting, storing, using, analyzing, and deleting information. We only process data that we need to operate the Platform, provide our services, ensure security, improve user experience, and fulfill legal requirements. We will ask for your consent when required (for instance, for certain cookies or marketing uses). Below, we outline the specific data we collect and process. 

  1. What specific data are you processing?

The data we process depends on how you use our Platform. Here are the categories of personal data we may collect and use: 

  • Visitor Data: When you visit our website (without necessarily logging in), we collect information such as pages you viewed or features you interacted with, the time spent on pages, any errors encountered, and technical details about your device or browser. This includes your approximate location (based on IP address), device type, operating system, and browser type. Visitor Data helps us understand how people use our site and improve our services. 
  • Member Account Data: When you register for an account, we collect data you provide such as your name or nickname (you may use a chosen display name instead of your full name), email address, phone number (if provided), password (stored in hashed form), and other profile information. We may also ask for an emergency contact (e.g., a trusted person’s phone or email) once you begin therapy, to be used only for safety emergencies. Additionally, we note how you registered (for example, whether you signed up via Google or Facebook, if available) and whether you verified your contact information. 
  • Onboarding Data: Before or during account registration, you might provide answers to intake questionnaires or assessments about your mental health preferences, concerns, and goals. For example, we may ask about the issues you want to address in therapy, your therapy preferences, and other relevant background information. This information helps us match you with an appropriate therapist and tailor the experience to your needs. 
  • Therapy Session Data: We record non-content information about your therapy sessions on the Platform. This includes scheduling details (dates and times of sessions), whether a session was completed, canceled, or missed, and the duration of sessions. We do not record or store video or audio from therapy sessions conducted through Amanmind (sessions are not recorded, unless explicitly stated otherwise and consented to). Therapy Session Data is used for scheduling, billing, quality monitoring (e.g., ensuring sessions occur as planned), and improving service reliability. 
  • Communications Data: We store the content of communications you have through the Platform, including messages or chat logs between you and your therapist (if the Platform provides text messaging or chat features), journal entries or worksheets you choose to fill in the app, and any feedback or ratings you provide about your therapy. We also keep communications you send to our customer support (such as emails to our support or messages via the app). These communications are private between you and the intended recipient (e.g., your therapist or our support team), except as needed for quality assurance or legal compliance (see Section 8 and Section 22). 
  • Payment and Transaction Data: If you purchase counseling services or a subscription, our payment processor (a secure third-party Service Provider) will collect your payment information (such as credit card details or other payment method information). Amanmind itself generally does not store your full financial information; it is handled securely by the payment processor. We do keep records of your transactions on our Platform, such as the dates of payments, the type of plan or service purchased, and transaction ID, as well as invoices or receipts. This Transaction Data is used for billing, accounting, and resolving any payment issues. (Note: Payment processors handling your data will be listed as Service Providers and are required to protect your payment information.) 
  • Therapist Data: For the therapists who provide services on Amanmind (if you are a therapist reading this Policy), we collect information as part of credentialing and providing the Platform services to you. This can include your name, contact information, professional licenses and qualifications, background information, payment account details for payouts, and usage data on how you interact with the Platform (similar to Member usage data). We use Therapist Data to verify credentials, connect you with clients, process payments, and monitor quality of service. 
  • Usage and Analytics Data: When Members use the Platform while logged in, we collect data about your actions and engagement. This includes log-in and log-out times, features used (e.g., if you use tools like goal tracking or journaling), clicks and navigation within the app, and the number of messages or files exchanged (but not the contents of therapy messages, as noted). We may also collect diagnostic logs in case of app errors or crashes. This data helps us monitor system performance, understand user engagement, and improve the Platform’s functionality and user experience. 
  • Customer Service Data: If you contact us for support or to ask questions (via email, chat, or phone), we may collect details about your request and how it was resolved. We keep records of customer support interactions to help answer your questions, train our support team, and ensure any recurring issues are addressed in the Platform’s development. 

We want to emphasize that we do not use any personal information you provide for purposes other than those described in this Policy without your consent. We also do not collect any sensitive categories of data unless you voluntarily provide them to us as part of using our mental health services (for example, information about your health or personal situation shared with your therapist is considered sensitive and is handled with strict confidentiality and security). 

  1. Why do you collect and process my data?

We process your data for the following purposes, which are essential to delivering and improving the Amanmind services in a safe and lawful way: 

  • To provide and personalize our services: We use your information to set up your account, match you with a suitable therapist, and facilitate therapy sessions. For example, your onboarding answers and location help us suggest an appropriate licensed therapist, and your data allows the Platform’s features (like journals or exercises) to function for you. 
  • To enable communication and support: We process data so that you can communicate with your therapist (through messaging or calls on the Platform) and so that we can communicate with you. This ensures that if you have questions, technical issues, or emergencies, we can respond and assist. We also send you important account or service updates (for instance, appointment reminders or changes to our services). 
  • To maintain safety and emergency contact: If we believe you or someone else is in immediate danger (for example, you indicate a risk of self-harm or harm to others during a session), we might use your provided information to contact appropriate help, such as alerting emergency services or notifying your emergency contact. Your safety is a top priority, and we will only share what is necessary in such urgent situations (see also Section 22 regarding legal obligations). 
  • To process payments and transactions: We use transaction and payment data to handle billing for our services, ensure you are charged correctly, and manage subscriptions or invoices. This includes communicating with you about billing (e.g., receipts or payment issues). 
  • To monitor and improve service quality: We collect data such as session status (completed or missed), ratings, and feedback to ensure therapists are providing quality care and that the Platform is effective. For example, tracking if sessions happen on time or if a therapist is frequently absent helps us maintain a high standard of service. In some cases, and only if you have given consent, a qualified clinical supervisor on our team might review certain interactions for quality assurance — for instance, if you report a serious concern about your therapy experience, a clinical team member may review messages to address the issue appropriately. 
  • To develop and enhance the Platform: We analyze usage and analytics data to understand how our users interact with Amanmind. This helps us identify what features are useful, detect problems, and make improvements. For example, usage data might inform us if a new feature is popular or if parts of the website are confusing, allowing us to refine the user interface. 
  • To secure and protect the Platform: We process data to verify your identity when you log in, to prevent unauthorized access to accounts, and to detect and prevent fraudulent or malicious activity. For example, we may use device and log-in information to flag unusual login attempts, and we monitor for behaviors that could indicate abuse of the system or violations of our terms. This helps keep our Platform safe for all users. 
  • To comply with legal requirements: Certain laws require us to collect or retain data. We process your information as needed to comply with applicable laws on data retention, financial record-keeping, and other regulatory requirements. Additionally, if law enforcement or regulatory authorities lawfully require information, we may need to provide it (see Section 22 for more details). 
  • To communicate offers and updates (marketing): With your permission, we may use your contact information to send you newsletters, mental health resources, new feature announcements, or promotions related to Amanmind services. You have control over receiving these messages (see Section 20 on how to opt out of marketing emails). We do not spam you; we aim to send communications that are relevant and helpful to your well-being or use of our Platform. 

We will not use your personal data for any purpose that is incompatible with the above reasons. If we ever need to use your information for a new purpose, we will update this Policy and, if required, ask for your consent. 

  1. Who can see the interactions I have with my therapist?

Confidentiality is core to Amanmind. The private interactions between you and your therapist (such as messages, chat transcripts, or any notes from your therapy sessions) are accessible only to you and your therapist. Neither Amanmind’s staff nor any third parties can read or access the content of your therapy conversations unless one of the following exceptional situations occurs: 

  • Quality assurance or safety concern: If you provide consent for us to review a specific interaction (for example, you report a serious issue with your counselor and allow a supervisor to investigate), or if we have a strong reason to believe there’s a safety emergency, authorized Amanmind personnel (bound by confidentiality obligations) might review relevant portions of your communications strictly to address the concern. This is done very rarely and carefully. 
  • Legal obligation: In the rare event we are required by law (such as a valid court order or subpoena) to disclose certain information, we may need to access and provide the relevant communications. We discuss how we handle legal requests in Section 22, and note that therapists have their own professional duties regarding confidentiality and legal disclosure. 

Apart from these rare cases, your therapy communications (messages, journals, etc.) remain private between you and your therapist. We do not monitor or use the content of your counseling sessions for advertising, profiling, or any purpose unrelated to providing and improving our therapy services. 

Your therapist, as a licensed professional, also has an ethical and legal obligation to maintain the confidentiality of what you share in therapy, with only a few exceptions (such as if there is an imminent risk of harm or abuse that they are legally required to report). Amanmind supports and enforces these confidentiality standards on our Platform. 

  1. What are the purposes for sharing my data?

We do not share your personal information with others unless it is necessary to run our business, provide our services to you, fulfill one of the purposes described above, or we are legally required to do so. Here are the circumstances in which we may share data, and why: 

  • With your therapist: Obviously, when you sign up for therapy on Amanmind, the therapist you are matched with will have access to the information you provide in the Platform that is relevant to your treatment. This includes your profile information (e.g., nickname, age, concerns you’ve indicated) and the messages or journal entries you share with them. Therapists are independent providers but they are bound by privacy obligations to keep your information confidential, as discussed. 
  • With our Service Providers: We share information with trusted service providers who need the data to perform tasks on our behalf. For example, our cloud hosting provider stores data (so your app and chats function), our email service may get your email address to send you notifications, our analytics provider may process usage data to help us understand our app performance, and our payment processor gets transaction details to process payments. In all cases, these providers are contractually required to protect your data and use it only for the specific service they provide us. They cannot sell or disclose your data for their own purposes. 
  • For processing payments: When you pay for services, we may share necessary personal data with payment gateways or financial institutions (e.g., your name and billing info) to process the transaction and for fraud prevention. These entities are also under strict obligations to safeguard your data. 
  • With third-party integrations you authorize: If our Platform allows you to integrate with third-party services (for example, if you choose to connect a calendar or join a session via a third-party video service), we will share data with that third-party as needed for the integration only after you opt-in or initiate such a connection. In such cases, the third party’s terms and privacy policy apply to the data they receive. 
  • Advertising and analytics partners (with consent): If you have given consent for advertising cookies or similar technologies, we may share limited identifiers (like cookies or hashed device IDs and IP address) with third-party advertising platforms or social media companies that we use to advertise Amanmind. This is done to reach people with relevant ads about our services (see Section 11 on Advertising for more detail). These partners are not given access to your therapy data or any sensitive personal information – just the minimum needed for ad targeting (for example, showing an ad on another site to people who visited our sign-up page). You can opt out of this sharing by declining advertising cookies or adjusting your settings (Section 14). 
  • With law enforcement or when required by law: If we receive a legal demand (such as a court order, subpoena, or law enforcement request) that we determine we are legally obligated to comply with, we may provide the requested information. We will ensure any disclosure is limited to what the law requires. Additionally, if necessary to enforce our Terms and Conditions or to protect our rights, privacy, safety, or property, or those of our users or the public, we might disclose relevant information (for example, to investigate fraud or security issues). 
  • Emergency situations: If we believe in good faith that sharing information is necessary to prevent an imminent threat of serious harm or injury to any person, we may share information with authorities or emergency contacts. For instance, if a user is in a crisis and we have enough information to assist in getting them help, we might contact law enforcement or medical responders. We would only share details pertinent to managing the emergency. 
  • Business transfers: If Aman Mind LLC undergoes a business transaction such as a merger, acquisition by another company, reorganization, or sale of some or all assets, your personal data may be transferred to the successor entity as part of that transaction. If such a transfer occurs, we will ensure the new owner at least observes the same commitments to your privacy as outlined in this Policy, and we will notify you (for example, via email or notice on our site) of any change in data ownership or use. 
  • With your consent: In any other situation not covered above, we would explicitly ask for your consent before sharing your personal data. For example, if there’s ever an opportunity to participate in a research study or testimonial that requires sharing some of your information, we would only do so if you agree to it. 

Importantly, we do not sell your personal information to any third parties. We also do not share any information about your therapy issues, session content, or personally identifying details with advertisers or external parties for marketing purposes without your opt-in consent. Any sharing we do is solely to serve you (such as connecting you with a therapist or running the Platform effectively) or to meet our legal responsibilities, as listed above. 

  1. Do you process location data?

We do not track your precise GPS location, but we do process approximate location information based on your IP address and the address information you may provide. This helps us personalize your experience – for example, by showing the website in your language, matching you with therapists licensed in your state or country, or displaying content relevant to your region. The location data we derive from IP addresses is not always accurate to an exact address; it typically gives a broad area (such as city or country). We use this rough location data internally to comply with region-specific laws (for instance, different privacy or healthcare regulations) and to improve the service (like optimizing connection speeds by using a server nearest to your region). 

If you access Amanmind via a mobile device, we do not ask for or collect GPS data from your device’s location services unless you explicitly grant permission for a specific feature that might require it (currently, there is no such feature on our Platform that uses precise location). If in the future we introduce location-based features, we will ask for your consent before using any precise location information. 

  1. Are you using my data for advertising?

In general, we only use your data for advertising our own services, and we do so in a privacy-conscious way. We do not use any information from your private therapy communications for advertising purposes. 

Here’s how we approach advertising and marketing: 

  • We do advertise Amanmind on third-party websites and apps to reach people who may benefit from our platform. To make our advertising efficient and relevant, we might utilize limited data about how you use our site. For instance, we may use cookies or pixels to note that a browser visited our homepage or started signing up, and then use that to show an Amanmind ad to that browser later on another site. This kind of data usage is generally tied to your device or cookie identifiers and does not reveal your identity or any personal details about your mental health. 
  • Opt-in for advertising cookies: We respect user choice for advertising. If you opt in to advertising cookies and similar tracking technologies via our cookie consent banner or settings, then certain data (such as your cookie ID, device identifier, and IP address) may be shared with advertising partners to display our ads to you on other platforms. This data might include basic information about your visit to our site (like the fact you visited or certain pages visited), but it will exclude any activity or content from when you are logged in and using the therapy services. In other words, we don’t share information about your actual therapy usage or personal communications in our advertising efforts. 
  • We do not engage in invasive targeting techniques. For example, we do not do “retargeting” based on sensitive information. Retargeting in the classic sense means showing ads to you because you took a specific action or viewed a specific content on our site. We limit our advertising to broad outreach and do not, for instance, target you with an ad because of something personal you discussed on Amanmind. In fact, even if you opt-in to marketing cookies, we currently do not use your presence as an Amanmind user to follow you with repeated ads beyond basic reminders about our service. 
  • No sharing of therapy data with advertisers: To be absolutely clear, we never share details like your name, contact information, health questionnaire answers, messages with your therapist, session notes, or any other sensitive personal data with any third-party advertisers or social media platforms for marketing. The advertising partners (such as Google, Facebook, or others we might use) do not receive your personal counseling information from us. They might receive an anonymized code or tag that a user (unknown to them by name) visited our site, so they can display our ad to that user. 

If you prefer not to have your data used even in this limited way for Amanmind’s advertising, you can opt out by declining or disabling marketing cookies (see next section). Even after opting in, you can always change your mind and opt out. Opting out will not affect your use of the Platform itself; it just means you may see more general ads instead of potentially Amanmind-related ads elsewhere. 

Our goal with any advertising data use is to respect your privacy while allowing us to reach individuals who could benefit from mental health support. We periodically review our practices to ensure they comply with regulations and industry best practices for privacy. 

  1. What is a cookie or web beacon?

A “cookie” is a small text file that websites (including ours) store on your browser or device when you visit. Cookies serve several functions: they can keep you logged in by remembering your session, save your preferences (like language or font size), and collect information about your interaction with the site. Cookies are unique to your browser and can be read by the site that set them (or in some cases by other sites that recognize the same cookie). 

A “web beacon” (also known as a pixel tag or clear GIF) is a tiny invisible image or piece of code embedded on a webpage or email. When you load a page or email containing a web beacon, it can communicate with the server that provided it, letting that server know things like whether an email was opened or a page was viewed. Web beacons are often used in conjunction with cookies to track user behavior. For example, if we send you an email, a beacon in that email may tell us that you opened it, which helps us know if our communications are effective. 

In simpler terms: cookies remember things about you (like your login or site preferences), and web beacons let us know that a certain action took place (like you opened an email or visited a certain page). Both are common tools used to improve web services and marketing. We use them for the purposes described in the next section. 

  1. What are you using cookies and web beacons for?

We use cookies and similar technologies (like web beacons or pixels) for several necessary and helpful purposes: 

  • Essential functionality: Some cookies are necessary for our Platform to work properly. For instance, when you log in, a cookie keeps you logged in as you navigate between pages so you don’t have to enter your password repeatedly. Cookies also help us route you to the correct server and maintain the stability and security of your session. 
  • Preferences and personalization: Cookies remember your choices and preferences. For example, a cookie might save the fact that you prefer the Arabic language interface or that you dismissed a certain notification. This way, the next time you visit, we can present the site as you like it without asking you again. 
  • Analytics and performance: We use cookies and beacons to gather usage data (as part of the Analytics Data described above). They tell us how many people visit certain pages, how long they stay, and what features they use. This information is typically aggregated and helps us see trends (for example, if a new feature is popular or if users drop off at a certain step in the sign-up process). Understanding these patterns allows us to improve the content and performance of our Platform. We may use third-party analytics tools (like Google Analytics or similar) that set their own cookies to help with this analysis. These tools provide statistical information and do not identify you personally to us. 
  • Advertising and outreach: As discussed in Section 11, if you consent to advertising cookies, those cookies and associated beacons/pixels will be used to help deliver Amanmind advertisements on other websites or apps you visit. For instance, a cookie might note that you visited Amanmind, and then we can use that to request an ad network to show you an Amanmind banner later. If you do not opt-in, we won’t use cookies for this purpose on your device. 
  • Compliance and security: Some cookies help us comply with regulations (for example, remembering if you’ve consented to cookies or not, so we don’t keep asking you) and help us detect fraud or abuse. For example, we might use a cookie to throttle repeated failed login attempts or to block a browser that is making too many requests (potentially indicating a malicious bot). 

In summary, cookies and web beacons make your experience smoother (by remembering your login and preferences), help us understand and improve our services, and, with your permission, allow us to inform more people about Amanmind through tailored advertising. We do not use cookies or tracking beacons to collect sensitive information from your device or to spy on your activity unrelated to Amanmind. 

  1. How do I opt out of cookies, web beacons, and other tracking technology?

You have several options to control or opt out of cookies and tracking: 

  • Cookie consent on our site: When you first visit Amanmind, you may see a cookie consent banner. You can choose to accept or reject different categories of cookies (e.g., “Strictly Necessary” vs “Advertising” cookies). If you want to change your preferences later, we will provide a way (such as a “Cookie Settings” link on our site) for you to adjust which cookies you allow. Simply revisit those settings to update your choices. If you opt out of advertising/analytics cookies, we will stop using those on your browser, though essential cookies may still be applied to ensure the site works. 
  • Browser settings: Most web browsers allow you to refuse new cookies, delete existing cookies, or notify you when a cookie is being set. Check your browser’s help documentation for how to do this. For example, in Chrome you can go to Settings > Privacy and Security > Cookies and site data to block or clear cookies; in Safari, you can find similar options under Preferences > Privacy. Please note, if you disable all cookies, some parts of our Platform (like logging in or some interactive features) may not function correctly. 
  • Do Not Track (DNT): Some browsers have a “Do Not Track” feature that can send a signal to websites indicating you do not want to be tracked. Our systems currently do not respond to every DNT signal, because there is no universal standard for how to interpret them. We recommend using our cookie management tools and browser settings for more direct control. However, we continuously monitor industry developments around DNT and may adjust our practices if a standard becomes widely adopted. 
  • Opting out of analytics/ads: For third-party analytics and advertising partners, they may offer their own opt-out mechanisms. For example, Google Analytics offers a browser opt-out add-on, and many ad networks subscribe to the Digital Advertising Alliance’s opt-out program (optout.aboutads.info) or the Network Advertising Initiative. Using these can reduce targeted advertising in general. Keep in mind, opting out of “targeted ads” doesn’t mean you won’t see any ads, just that they won’t be tailored based on cookies from sites you’ve visited. 
  • Email tracking: If you want to avoid web beacons in emails (which let us know if you opened our message), you can disable images in your email client (since beacons often are small images). You can also unsubscribe from our marketing emails (see Section 20) so you won’t receive emails with tracking pixels in the first place. 

Remember, even if you opt out of certain tracking, we will still need to use some cookies and data to ensure our site operates (for example, we can’t log you in without any cookies at all). But you are fully in control of whether you allow non-essential cookies and tracking.   1. How do you keep my data secure?

We are committed to protecting your personal data. Amanmind uses robust security measures to safeguard information from unauthorized access or disclosure. Here are some of the key steps we take: 

  • Encryption: All communication between your device and our Platform is encrypted using industry-standard protocols (such as HTTPS with TLS/SSL). In addition, any sensitive data is encrypted at rest in our databases. For example, passwords are stored in hashed form (one-way encrypted), and any sensitive personal information is stored in encrypted form in our systems. Messages between you and your therapist through Amanmind are transmitted securely over encrypted channels. We also employ 256-bit encryption for data where applicable, which is a high standard of data security. 
  • Secure infrastructure: We host our services on secure servers (for instance, in reputable cloud data centers) that have strong physical and network security controls. Our servers are typically distributed across multiple locations to ensure resilience and protection against outages. The data centers we use have certifications and security audits to meet internationally recognized standards. Access to these servers is strictly limited to authorized personnel. 
  • Access controls: Within Amanmind, personal data is only accessible to those employees, contractors, or Service Providers who need that access to perform their duties (for example, support staff assisting you, or system engineers maintaining the service). They are subject to confidentiality obligations. We have administrative safeguards like user access logging, role-based access permissions, and multi-factor authentication for our internal systems to prevent unauthorized access internally. 
  • Monitoring and testing: We maintain active monitoring of our Platform for any suspicious activities or vulnerabilities. We employ firewalls, intrusion detection systems, and automated alerts to detect unusual behavior. Our security team regularly updates our software and infrastructure with security patches. We also conduct periodic security assessments and penetration testing (simulated attacks) to identify and fix potential weaknesses in our defenses. 
  • Data scrambling and backups: Personal data in our databases is protected such that even if it were improperly accessed, it would be extremely difficult to interpret. For instance, certain identifying fields may be additionally encoded or tokenized internally. We also maintain backups of data to prevent loss, but these backups are equally protected with encryption and stored securely. In the highly unlikely event of a data breach, we have an incident response plan in place and would notify affected users and authorities as required by law. 
  • Training and policies: All Amanmind team members receive training on privacy and data security best practices. We have internal policies to ensure we handle user data correctly and safely. For example, we never ask for your password via email, and our staff will always use secure methods to assist you. 
  • Payment information: As noted, we use professional payment processors to handle financial data. These processors are PCI-DSS compliant (the industry standard for secure credit card processing). Amanmind itself does not store your credit card numbers on our servers to minimize risk. 

While we strive to use the most advanced security measures, it’s important to remember that no method of transmitting or storing data online is 100% secure. We continuously work to update and improve our security practices to meet evolving threats. We also encourage you to help protect your data by using a strong, unique password for Amanmind and not sharing your account credentials with others. If you ever suspect any unauthorized access or security issue related to your account, please contact us immediately at info@amanmind.com so we can investigate and take action. 

  1. Do you sell my data?

No. We do not sell or rent your personal data to anyone. Your information is yours, and we use it only to provide and improve our services as described in this Policy. We are not in the business of selling user information, and we consider your trust in us to handle your data as a fundamental part of our service. 

In addition, we do not share your personal data with third parties for their own direct marketing purposes unless you explicitly consent to such sharing (and even then, currently we have no plans to do this). Any data sharing with third parties is strictly limited to the scenarios explained in Section 9 (such as working with Service Providers under contract, or legal requirements). 

In summary, you can rest assured that the information you share with Amanmind stays within Amanmind (and its controlled Service Provider relationships) and is not being monetized by selling it to advertisers or data brokers. If you have any concerns about how we handle your data, please reach out to us and we’ll be happy to clarify or address them. 

  1. Can I sign up for Amanmind and remain anonymous?

We understand that privacy is particularly important for mental health services. You are not required to use your real full name publicly on Amanmind. When you create an account, we ask for an email address (for account verification and communication) and allow you to choose a display name or nickname. You can use any nickname or first name you’re comfortable with; it does not have to be your legal name, and other users (including your therapist) will generally only see the name or nickname you provide. 

A few important notes on anonymity: 

  • Email and contact info: You do need to provide a valid email address when registering, as this is used for account activation, password resets, and important communication. If you are concerned about anonymity, you may use an email that does not reveal your identity (for example, without your full name in it). Keep in mind, however, that under some privacy laws, even something like an email could be considered personal data. We treat your contact information as private personal data and protect it accordingly. 
  • Emergency and billing information: When you decide to start therapy on the Platform, we will ask for additional information that might include your full name, phone number, and an emergency contact. This information is kept confidential and is only used for very specific purposes: your full name and payment details are needed for billing (and to comply with financial regulations), and your contact information (and emergency contact) is used only if there’s a critical safety concern. Therapists may also request or be required by law to collect certain information from you (such as an address or ID) for their client records or in case of emergencies. Amanmind itself does not disclose your full identity to your therapist unless it’s needed for treatment or safety (often, therapists will ask you directly for any info they need for their professional obligations). 
  • Visibility: On our Platform, there is no public directory or profile listing of clients. Only your therapist and authorized Amanmind personnel can see the information linked to your account, and even then, therapists primarily see what you share with them and your chosen display name. 

In summary, we allow a high degree of anonymity/pseudonymity for our users. You can engage in therapy using just a first name or nickname. However, for practical and legal reasons, certain information (like a verified email and emergency contact) is needed behind the scenes. We handle that information with strict confidentiality. If you have concerns about using your real information even in our private records, please discuss this with us or your therapist—therapists might still require some way to identify or reach you in case of crisis, but we will work with you to make sure you feel safe and secure using the Platform. 

  1. How long do you keep my data?

We retain personal data only for as long as it is needed to fulfill the purposes for which it was collected, or as required by law. The retention period can vary depending on the type of data: 

  • Active account: If you have an active account with Amanmind, we will keep your information for as long as you are using the service so that we can provide it to you. All data associated with your account (profile, communications, etc.) is maintained to serve you continuously. 
  • Inactive accounts: If you stop using Amanmind or deactivate your account, we may retain your data for a certain period in case you return and to facilitate reactivation. This is intended to make it easier for you to resume therapy without losing historical context (for example, your past session dates or messages could be re-accessed by you). It also allows therapists to reference past interactions if you come back or if there are follow-up issues. We design our retention schedule to balance convenience with privacy – i.e., not keeping things longer than necessary. 
  • Legal and operational retention: Even after you stop using the service, we might need to retain some information for legal, regulatory, or internal business reasons. For example, we may keep transaction records for accounting/tax purposes, or certain communications and consents to prove compliance with laws. Also, logs and backups might retain some data for a short period even after deletion as part of normal operations. 

Amanmind follows a data retention schedule that specifies how long different types of data are kept. Without listing the entire schedule here (which can be detailed), some key points include: 

  • Most user-provided content data (messages, journals, etc.) is retained for a period after account closure unless you request deletion (see Section 19 on how to request deletion). This period is generally in the range of a few years, subject to legal requirements, to accommodate users resuming services. 
  • Some data, once it’s no longer needed, is either deleted or anonymized (stripped of identifying details so it’s no longer linked to you). For example, we might aggregate usage statistics and not need individual user logs beyond a certain point. 
  • Therapy-related records: Therapists themselves may be required by their professional regulations to keep records of therapy sessions for a minimum number of years. Amanmind as a platform doesn’t override those requirements, so information like session dates and basic therapy notes might be kept to satisfy those obligations and for continuity of care. 
  • Upon deletion request: If you actively request that your data be deleted (and your situation allows it), we will remove or anonymize the personal data we can, and we will do so promptly (more details in the next section). Some minimal information may be kept as outlined next, but we aim to honor deletion requests fully for data that is not legally required to retain. 

In general, once the retention period expires for any piece of data, we will securely delete it or anonymize it so that it can no longer be associated with you. 

One exception to note: If you engaged in therapy on our Platform, after you discontinue service and request deletion, we will still retain certain minimal information for a longer period (up to 10 years, unless a shorter or longer period is required by applicable law). This limited data includes things like your user nickname, your contact email, records of any consents or opt-outs you gave, any communications with our support (e.g., complaints or deletion requests themselves), basic account history (e.g., dates of service, therapist name, and payment history), and any information we are required to keep for legal compliance (such as proof of services for accounting, or to comply with health regulations). We retain this minimal data to comply with laws, resolve any future disputes, prevent fraud, or demonstrate our compliance with legal obligations (for example, proving that we deleted what we should have). This retained information is protected and restricted to only what is necessary. It does not include the content of your therapy conversations or any journals/messages – those will be deleted from our primary systems when you request, as described below. 

Our commitment is to not keep your personal data indefinitely. We regularly review the data we hold and erase or anonymize personal data that is no longer needed. If you have specific questions about our retention practices for a certain type of data, you can contact us at info@amanmind.com. 

  1. How do I request my data or delete it?

You have the right to access the personal data we hold about you and to request deletion of that data (subject to certain exceptions under the law). Here’s how you can exercise those rights: 

  • Requesting a copy of your data (data access): If you want to know what personal data Amanmind has about you or to receive a copy of it, you can send us a request. The easiest way is to email us at info@amanmind.com with the subject “Data Access Request”. For your security and privacy, we will need to verify your identity before fulfilling such a request (to ensure we’re giving your data only to you or your authorized representative). Once verified, we will provide you with a summary of your personal data. This typically includes information you provided in your profile, your contact details, your intake questionnaire responses, and possibly a log of your activity (such as session history or messages) if required by you. We will exclude other people’s personal data from this (for example, we wouldn’t disclose data that belongs to your therapist, except any notes about you if they are part of your record). 
  • Requesting deletion of your data (right to be forgotten): You may ask us to delete your personal data. You can do this by contacting info@amanmind.com with a clear request. If you have an account and simply wish to discontinue the service, you might also use any self-service “Delete Account” feature if available in your account settings — which would trigger the deletion process. When we receive a deletion request, we will first verify your identity (again, for protection). Once verified, we will initiate the deletion of your personal data from our active databases. We will also instruct our Service Providers to delete any of your personal data that they process on our behalf (to the extent required by law). 
  • What happens when we delete data: After confirming your deletion request, we will remove personal information such as your name, email, profile info, messages, etc., from our active systems. As noted in Section 18, certain minimal data may be retained for legal/business reasons (and that data, if retained, will be isolated and protected). Any retained information will not be used for any active purpose and will be deleted after the retention period expires. When your data is deleted from active systems, it may still reside in encrypted backups for a short period until those backups rotate out of retention – but in the interim, we ensure that if we restore from backup for disaster recovery, any deleted accounts are re-deleted or anonymized as needed. 
  • Time frame: We strive to respond to data access or deletion requests without undue delay. Under some regulations, we have up to 30 days to respond, and we aim to resolve requests well within that if possible. We will let you know once your request has been completed, or if we require more time (for example, if a request is complex). 
  • Identity verification: When you make a request, we need to be sure it’s actually you (or an authorized person) making the request. We might ask you to provide information that matches what we have on file (for example, verify via your registered email or provide a specific piece of info we have). If you authorize someone else (an agent) to make the request on your behalf, we will require proof of that authorization and still will verify with you if needed. 
  • Exceptions and limits: In certain situations, we might not be able to fulfill a deletion request – for example, if keeping the data is necessary for us to comply with a legal obligation or if the data is required to resolve disputes or protect against fraudulent activity. If that’s the case, we will inform you of the specific reason we cannot delete some of your data. We do not deny deletion or access requests without a valid reason. Notably: 
  • If your data is part of an ongoing legal case or investigation, we may postpone deletion for that reason. 
  • We will refuse requests that are unfounded or excessive (e.g., repetitive requests) as allowed by law, but we will explain why. 
  • Cost: Submitting a data request is generally free. We will not charge you for requesting a copy of your own data or asking to delete it. If, for some reason, a request would incur a substantial cost (which is uncommon, and usually only if the request is manifestly unfounded or excessive), we will discuss it with you first or suggest an alternative (like narrowing the scope of the request). 
  • Data portability: If you request it, we can provide your personal data in a commonly used electronic format (for example, a CSV or PDF containing your info), so that you could reuse it elsewhere. This typically applies to data you provided to us directly. 

We will not discriminate against you for exercising these rights. That means we won’t deny you services, or give you a different level of service, or charge you a different price just because you exercised your privacy rights (for example, asking for your data or requesting deletion). Our service offerings to you remain the same. 

Your privacy and control over your information are extremely important to us. We have designed our systems to facilitate data requests and deletion. If you need any assistance or have questions about the process, you can always reach out to our support at info@amanmind.com. 

  1. How can I stop receiving direct marketing emails from you?

If at any time you prefer not to receive promotional or marketing emails from Amanmind (for example, newsletters, mental health tips, or special offers), you can opt out easily: 

  • Unsubscribe link: Every marketing or newsletter email we send includes an “Unsubscribe” link, typically at the bottom of the email. Clicking that link will take you to a page where you can confirm your choice to unsubscribe. Once you do this, we will remove you from our marketing mailing list. Please note that it might take a short time to process (usually immediate, but in some cases up to a couple of days for all systems to update), so you might receive one last email if one was already in production. 
  • Email us: You can also send an email to info@amanmind.com stating that you do not wish to receive marketing communications. We can manually remove you from the list of recipients. 

After you opt out, you will no longer receive marketing or promotional emails. However, you may still receive administrative or transactional emails that are important for your use of the service. For example, we will still send emails for password resets, appointment reminders, billing receipts, or important notices about your account or the Platform (like changes to terms or this Privacy Policy). Those emails are not marketing – they are part of the service operations. 

If you have multiple email addresses or aliases, please make sure to unsubscribe each one that you might have used with Amanmind. And if you ever change your mind and want to re-subscribe to our newsletter or updates, you can contact us or use the subscribe options on our website. 

We respect your choice and aim to only send communications that are useful to you. Thank you for staying in touch as needed! 

  1. How do you treat data from children?

Amanmind is not intended for children under the age of 13. We do not knowingly collect or solicit personal information from anyone under 13 years old. Our Platform, content, and services are designed and offered for adults (and in some cases, older teenagers with parental consent – see below), but absolutely not for young children. If you are under 13, please do not use Amanmind or send any personal data to us. 

For minors who are above 13: Amanmind’s general policy is that users must be at least 18 to sign up for therapy on their own. We recognize that in some jurisdictions, parental or guardian consent might allow a minor (such as 16- or 17-year-olds) to receive counseling services. Any such arrangement would be handled carefully off-platform (for instance, through a parent or guardian setting up the account and providing consent). Unless explicitly arranged, we treat all users of the Platform as either 18 or older, or as having a legal guardian’s oversight. 

If we learn that we have inadvertently collected personal information from a child under 13 without proper consent, we will delete that information as quickly as possible. For example, if a 12-year-old manages to sign up with a false birth date and we later discover their age, we will terminate the account and remove their data. If you believe that we might have any information from or about a child under 13, please contact us immediately at info@amanmind.com. 

For parents or guardians: If your child (under 18) is seeking counseling, please reach out to us or a healthcare provider directly to discuss appropriate options. There may be specialized services for minors that ensure parental consent and involvement. Amanmind’s Platform in its current form is directed at adult use. 

We comply with the United States Children’s Online Privacy Protection Act (COPPA) and other applicable laws that protect children’s privacy, which means we do not knowingly keep data of under-13 users, and we take steps to verify age during the sign-up process. 

  1. How do you use my data to comply with the law?

We may use and disclose personal data as necessary to comply with applicable laws, regulations, legal processes, or governmental requests. Here’s what that means: 

  • Legal requests and subpoenas: If we receive a court order, subpoena, or other legally binding request for information, we may be obligated to provide certain data. For instance, a court might subpoena our records for a specific user. In such cases, our policy is to review the request carefully, ensure it’s valid, and only provide the minimum data required. We also, when appropriate, would inform the user (if allowed by law) about the request. 
  • Therapist/client confidentiality and legal exceptions: Generally, communications between you and your therapist are privileged and confidential. Many jurisdictions have laws that protect therapy communications from disclosure in legal proceedings (often called therapist-patient privilege). Amanmind respects these principles. If a law enforcement or court request were to seek actual therapy session content (like chat messages or notes), we would defer to the therapist’s legal and ethical obligations. Typically, the therapist would be the one to assert privilege or decide what is appropriate to disclose, not Amanmind. We would only release such information if absolutely required by law after all applicable protections are considered, and usually with the therapist’s involvement or notification. 
  • Mandatory reporting: Therapists are often mandated reporters for certain things (for example, if a minor is being abused or if a client is threatening serious harm). If a situation arises during your use of Amanmind where the therapist must report something to authorities, that is a use of information to comply with the law (though it’s the therapist making the report, not Amanmind staff). Similarly, if Amanmind became aware of a clear and immediate danger or illegal activity, we might have to notify authorities. These cases are rare and handled with caution, focusing on safety and legal duties. 
  • Enforcing our terms and protecting rights: We may use or disclose data if necessary to enforce Amanmind’s Terms and Conditions or other agreements, or to investigate potential violations. We will also use/disclose data to protect our rights or property, and the safety of our users or others, as required or permitted by law. For example, sharing information with law enforcement to prevent harm or stop fraudulent activity would fall under legal compliance and protection. 
  • Data protection and privacy laws: We also comply with laws like the EU’s General Data Protection Regulation (GDPR) and relevant US state privacy laws. This means we ensure your rights (as described in Section 19) are upheld, and if required, we will work with regulators in case of any inquiries or inspections. If we ever experience a data breach involving your personal data, we will follow applicable laws in notifying you and authorities within required timeframes. 

In summary, while our goal is to keep your information confidential and only used for your service, there are limited circumstances where the law compels us to act otherwise. In those cases, we will always strive to uphold your privacy to the maximum extent possible – for instance, by narrowly interpreting what must be disclosed and by honoring therapist-client confidentiality rules. If you have concerns about how your data might be shared for legal reasons, feel free to discuss this with your therapist or with us. We take legal compliance seriously but also weigh it against your right to privacy. 

  1. Will you change this Privacy Policy?

We may update or modify this Privacy Policy from time to time. As our services evolve, or as laws and regulations change, we might need to make changes in how we handle privacy, and we want to keep you informed about that. 

If we make significant changes to this Policy, we will notify you in a timely manner. Notifications may include: 

  • Posting a prominent notice on our website or within the app (for example, a banner or pop-up when you log in) indicating that the Privacy Policy has been updated. 
  • Noting at the top of the Privacy Policy the “Last updated” date so you can easily see if it’s been modified since your last read. 
  • In some cases, we might also send an email to the address associated with your account to inform you of major changes. 

Your continued use of Amanmind after any changes to the Privacy Policy constitutes acceptance of the new terms (of course, only to the extent permitted by law). If we were to implement a change that requires your consent under applicable laws (for example, using your data in a new way that you originally didn’t agree to), we would obtain that consent from you. 

We encourage you to review this page periodically for the latest information on our privacy practices. This helps ensure you are aware of how your data is being handled at all times.
